Skovan Group Booking Terms

These terms apply to every Skovan school and community theatre evening. The specific event, theatre, date, deadline and prices are shown on the event page you booked through.


Please read these terms before booking. By booking and paying for places through Skovan, you agree to these terms. Wherever these terms refer to the event, the show, the theatre, the date or the booking deadline, they mean the details published on the relevant event page for the show you have booked.

1. Who is arranging this

Skovan is a trading name of Retops Ltd. Skovan arranges the group booking process for school and community theatre evenings. Skovan’s role includes collecting parent bookings, taking payments, allocating seats from the reserved group booking, distributing tickets once received from the theatre supplier, and providing booking-related support.

Skovan is not the theatre, venue operator, producer or performance organiser. The theatre and/or theatre supplier remain responsible for the performance, venue, venue safety, access, late admission rules, evacuation procedures, accessibility arrangements, theatre rules and any theatre-specific policies.

The relevant PTA or school is not responsible for parent bookings, payments, refunds, ticketing, seating allocation, supervision, attendance issues or event operations.

2. What you are booking

You are booking places for a school or community theatre evening. The show, theatre, date and start time are those shown on the event page you booked through.

Each show has its own age guidance, shown on the event page. Parents and carers are responsible for deciding whether the show is suitable for the children in their booking group. Children must attend with a responsible adult in their booking group.

3. Prices and the PTA contribution

The parent prices for each place type are shown on the event page. Each place includes a fixed PTA or school contribution, shown on the event page, which Skovan records separately and pays to the relevant PTA or school after the event if the event goes ahead.

Place prices include the theatre place and Skovan’s organising fee. Skovan’s organising fee is not shown separately to parents.

4. Minimum booking requirement

Each event only goes ahead if the theatre’s required minimum booking, shown on the event page, is reached. If the minimum is not reached, the group booking will not proceed. In that case, parent payments will be refunded and no PTA contribution will be due.

Refunds will be processed as soon as reasonably possible, but it may take up to 15 days for a refund to appear, depending on Stripe, card provider and bank processing times.

5. Payment and confirmation

Payment is taken online through Stripe. Submitting payment does not mean final theatre tickets have already been issued. Parent payments are collected before the supplier payment deadline so that Skovan can confirm whether the group booking can proceed.

Your booking is subject to: payment being successfully received; the minimum booking requirement being met; Skovan confirming the group booking with the theatre supplier; and the theatre supplier issuing final tickets.

Skovan may cancel and refund a booking if there is a payment issue, incorrect information, suspected misuse, or if the booking cannot be fulfilled for reasons outside Skovan’s reasonable control.

6. Ticket delivery

Tickets are not issued immediately after booking. The theatre supplier normally sends final tickets close to the event, often only a few days before the performance. Skovan will email tickets to the booking parent after tickets are received and seating allocation is completed.

Skovan is not responsible for delays caused by the theatre supplier, email delivery issues, incorrect email addresses provided by parents, or failure to check inboxes or spam folders.

7. No personal cancellation refunds once the event is confirmed

Once the event is confirmed and Skovan has committed to the theatre supplier, parent places are non-refundable. This includes, but is not limited to:

This reflects the normal position for theatre tickets, where confirmed tickets are generally not cancellable or refundable because a customer can no longer attend.

8. Transfers to another parent

If you can no longer attend, you may transfer your places privately to another parent or suitable attendee. Skovan is not responsible for finding a replacement, arranging resale, collecting money between parents, or guaranteeing that another parent will take your places.

If the transfer happens before tickets are issued, you may contact Skovan to ask for the booking contact details to be updated. Skovan will try to help where reasonably possible but cannot guarantee changes. If the transfer happens after tickets are issued, the original booking parent may forward the tickets directly to the new attendee.

The original booking parent remains responsible for making sure the new attendee has the correct tickets and understands the event details, supervision requirements and theatre rules.

9. Theatre cancellation, changes or disruption

If the theatre cancels, postpones or materially changes the performance, Skovan will follow the theatre supplier’s process. Any refund, exchange or alternative option depends on what the theatre supplier makes available to the group booking. Skovan cannot promise a refund or exchange beyond what is available from the theatre supplier.

Skovan is not responsible for cast changes, show content, running time changes, access restrictions, late admission rules, travel disruption, strikes, weather, illness, personal circumstances, or other matters outside Skovan’s reasonable control.

10. Seating allocation

Skovan allocates seats from the reserved group booking. Skovan will aim to keep each booking group together and, where practical, seat children from the same year group near each other. Specific seats, rows, views or proximity to particular families cannot be guaranteed.

If you book for friends or relatives as part of your booking, you are responsible for the people included in that booking.

11. Parent and carer responsibility

Parents and carers are responsible for supervising the children and guests in their own booking group at all times, including travel to and from the theatre, arrival, the performance, intervals and departure. Skovan, Retops Ltd, the PTA, the school and PTA volunteers are not responsible for supervising children.

12. Support on the night

Skovan may attend the event and provide booking-related support, such as helping with ticket issues where reasonably possible. Skovan’s support does not replace parent or carer responsibility, theatre staff responsibility, venue procedures or emergency services. For any medical, safety, access or venue issue, parents and carers should follow theatre staff instructions and venue procedures.

13. PTA contribution

Each place includes a fixed PTA or school contribution, shown on the event page. After the event, Skovan calculates the total contribution collected and transfers it to the relevant PTA or school. Skovan also provides a short post-event summary showing the number of places sold and the total amount raised. If the event does not proceed, parent payments are refunded and no contribution is due.

14. Data use

To run the event, Skovan collects basic booking information, including parent name, email address, number of adult and child places, child year group, payment status and any optional seating or access request provided. Skovan uses this to manage the booking, allocate seats, send event information, issue tickets, manage refunds if needed, provide booking-related support and produce a PTA summary. 15. Limits of responsibility

Skovan will use reasonable care in arranging and administering the group booking. However, Skovan is not responsible for:

16. Agreement

By booking and paying for places, you confirm that:

  • you have read and accepted these booking terms;
  • you are responsible for the people included in your booking;
  • you understand the event only proceeds if the minimum booking requirement is reached;
  • you understand that places are non-refundable once the event is confirmed with the theatre supplier;
  • you understand that tickets may be issued only a few days before the event;
  • you understand that parents and carers remain responsible for supervising children in their own booking group;
  • you understand that theatre rules and venue safety are managed by the theatre;
  • you have read the Skovan Privacy Note.
