This note applies to every Skovan school, club and community theatre evening. It explains what information Skovan collects when you book, why, how it is used, who it may be shared with, and how long it is kept.
Skovan is a trading name of Retops Ltd. Wherever this note refers to the event, it means the show you booked through, as published on its event page.
When you book places, we may collect:
We do not normally collect children’s full names unless it becomes necessary for a specific operational reason.
We use your information to manage your booking, confirm payment status, check whether the event has reached the minimum booking requirement, allocate seats, keep booking groups together and group children from the same year group where practical, send event information and tickets, contact you about the event, manage refunds if the event does not proceed, deal with booking questions or support issues, keep operational and financial records, and prepare a short group summary showing places sold and total contribution raised.
Payments are handled through Stripe. Skovan does not store your full card details. Stripe processes payment information according to its own security and privacy processes. Skovan keeps booking and payment status records so we can manage bookings, confirm who has paid, issue tickets and process refunds if required.
After the event, Skovan may contact you once to ask for feedback. You do not have to provide feedback. If Skovan would like to use your feedback as a testimonial, public quote, case study or promotional material, we will ask for your permission first.
Skovan may ask whether you would like to receive updates about future Skovan school, club and community theatre evenings, offers or discounts. You will only receive these if you choose to opt in. At booking, this may be shown as an optional checkbox. You can unsubscribe or ask to be removed at any time.
We may share information where needed to run, support, administer or verify the event. This may include:
We do not sell your personal information. We do not share your information with unrelated third parties for their own marketing.
Skovan may use anonymised or aggregate information about an event, such as the number of places booked, attendance numbers, amount raised, operational screenshots with names removed, or general feedback themes. We will not publicly share your name, email address, child details or identifiable booking information without permission. If we need to use identifiable feedback, a testimonial, named customer evidence or contact details for verification, we will ask for permission first unless a legal, regulatory or contractual reason requires a different approach.
We keep information for as long as reasonably needed for the purposes in this note. This may include running the event, sending tickets and updates, dealing with questions, refunds, complaints or support, completing the group summary, requesting feedback, keeping basic financial, accounting, legal or audit records, and protecting Skovan’s legitimate business interests.
Operational details, such as seating notes and year group information, may be deleted, anonymised or kept only in limited form after the event. Basic financial and transaction records may be kept for accounting, legal and audit purposes. If you opt in to future updates, we may keep your name and email address until you unsubscribe or ask us to delete it.
Skovan aims to collect as little children’s information as practical. For family or school-community events, we may collect the child’s school year group, not the child’s full name. The year group helps with seating allocation and supports the group/community nature of the event. For adult or general community events, we do not normally collect children’s information. Children’s information will not be used in public material.
You can contact Skovan to ask what information we hold about you, for incorrect information to be corrected, for information to be deleted where it is no longer needed, to be removed from future updates, or for clarification about how your information is used. Some information may need to be kept where required for accounting, legal, audit, dispute-resolution or legitimate business purposes.
